How a missed-call responder saves the enquiries you'd lose

A plain guide to missed-call text-back: what happens in the ten seconds after a call rings out, what the text should say, what it can't do, and what your own missed calls are worth, worked out with your numbers.

What it is

A missed-call responder watches your business line. When a call ends without anyone picking up, it sends the caller a text message within seconds, alerts you with their number, and writes the call into a sheet. When the caller texts back, the sheet updates and you're told again.

It doesn't answer the phone or pretend to be a person on a call. Its job is narrower and more useful: make sure nobody who rings you is left with silence, and make sure you know exactly who to call back.

The first ten seconds

  1. 00:00 The call ends unanswered. Your phone line tells the system straight away.
  2. 00:04 The caller gets a text from your business: who you are, a short apology, and one question.
  3. 00:05 You get an alert on your phone, with the number and two buttons: call back, or mark it handled.
  4. 00:05 A row appears in your sheet: the time, the number, and the status "Awaiting reply".
  5. Later The caller replies. The row changes to "Replied" with their reason, and you're pinged again. If nobody follows up, a reminder comes back round.

That is the order of events in the Missed Lead Responder, the system we built and tested end to end. The timings are from its replay.

What the text should say

The text decides whether the caller replies or rings the next business. Four rules cover most of it:

  • Say who you are first. A text from an unknown number gets ignored. Start with your business name.
  • Apologise once, briefly. "Sorry we missed you" is enough. Don't explain your whole day.
  • Ask one question. "What can we help with?" gets more replies than a list of options.
  • Only promise what you'll keep. "We'll call you back today" is good if it's true, and costly if it isn't.
For most businesses

Hi, it's Northgate Plumbing. Sorry we missed your call. What can we help with? Reply here and we'll get straight back to you.

When your hands are busy

Hi, it's Sundial Detailing. Sorry we missed you, we're with a car in the booth. What's the vehicle, and what does it need?

Out of hours

Hi, it's Lakeside Dental. We're closed until 8 tomorrow morning. Reply with what you need and we'll call you first thing.

What your missed calls are worth

Three numbers you can find yourself: how many calls you miss in a week (your phone keeps the list), what one customer is worth, and how many of those callers would have booked if someone had got back to them. The last one is a judgement. Be honest with yourself about it, and the answer is still usually worth knowing.

The Missed-call responder is $199, once, at launch pricing (then $399).

Missed calls × 4.33 weeks × the share who'd book × what one customer is worth. The starting numbers are an example, not an industry figure: the share who'd book is the one to be honest with yourself about.

The calculator multiplies your inputs: calls a week × 4.33 weeks × the share who'd book × what a customer is worth. It uses no industry averages, because none would be true for your business.

Replay with simulated data. A call to Northgate Plumbing from a number ending 0182 goes unanswered. Four seconds later the caller gets an SMS apologising and asking what they need. The owner gets a Telegram alert with Call back and Mark handled buttons, and a row is added to the Leads sheet marked Awaiting reply. About a minute later the caller replies that their kitchen sink is leaking; the row updates to Replied and the owner is pinged again. The caller is asked for their address and a good time, replies with both, and the row fills in and is marked Ready to book. The caller gets a message confirming the request is logged and that the business will call to confirm the visit, and a reminder is set in case the lead stays unhandled.

An answering service is the only option where a person talks to the caller live, and for some businesses that's worth paying for. A text-back is for the businesses where a fast written reply and a clear list of who to call back are enough.

What it can't do

  • It can't text a landline. You still get the alert and the number, so you can ring them back.
  • It doesn't hold a conversation. It sends the first reply and writes down the answer. A person takes it from there.
  • It needs a phone line it can watch. Usually your existing number forwards the calls you don't answer, so customers keep the number they know. We check with your phone provider before setting it up.
  • US numbers need registering for texting. Business texting from a US local number goes through carrier registration (A2P 10DLC), which is part of the phone-line activation time.

What it costs

The missed-call responder is $199 to set up at launch pricing (standard $399), and Ready in under 5 days, once we have your details. (plus phone-line activation time) It pairs with the enquiry tracker, which puts your website and WhatsApp enquiries in the same sheet as your calls.

?Questions

Common questions.

Will callers think it's spam?
Less often when the text starts with your business name and arrives seconds after they called you. They know who it's from because they just rang that number.
Can I change what the text says?
Yes. It's written in your words when we set it up, and changing the wording later counts as a small change.
Does it work outside business hours?
It works at any hour. Out of hours the text can say when you're open and when you'll call back.
Where do I see the calls?
On your phone, as an alert for each one, and in a Google Sheet that lists every missed call with its status.
Can I try it first?
Yes. Call the demo line on the Work page to try the IVR menu and the missed-call responder for yourself.
Are there running costs?
Chats your customers start cost nothing extra. Messages your business starts on WhatsApp (reminders, follow-ups) carry small Meta fees, and phone services need a phone line. Both are billed at cost, and we tell you the numbers before anything is set up.

Nobody who calls you hears nothing.
