Missed-call text-back, quote requests and WhatsApp site logs for contractors

You can't answer the phone from a ladder. The caller gets a text back in seconds asking what the job is, you get an alert, every enquiry lands in one sheet with a reminder until it's handled, and your crew log site issues with a photo and a line on WhatsApp.

01Where jobs go

A job day, call by call.

  1. 07:30

The first call of the day

You're loading the van. The caller with a burst pipe needs someone this morning, and hangs up after five rings.

  2. 11:20

    Up a ladder

Two missed calls while you're on a roof. You ring back at lunch, and one of them has already booked someone else.

  3. 15:00

The photo in the group chat

A crew member sends a photo of a cracked tile to the group. By Friday it's forty messages up and nobody can find it for the invoice.

  4. 20:30

    Quotes from the kitchen table

You write quotes in the evening from memory, because the details from today's calls are scattered across texts, voicemails and the back of a receipt.

02The arithmetic

A missed call is a job, not a call.

For a trade, the caller who hangs up isn't a lost conversation; they're a lost job. Your phone keeps a list of the calls you missed. Take a normal fortnight, halve it for a week, and put it in.

For example: 6 calls missed on the job each week, 20% of those callers would have hired you, and the average job is $600. That's about 5 jobs a month, worth $3,120.

The Missed-call responder is $199, once, at launch pricing (then $399).

Calls missed × 4.33 weeks × the share who'd have hired you × the average job. The starting numbers are an example, not a statistic: your phone's call log has a fortnight of real ones.

  4. Owner pinged: address and visit time are in
  5. Reminder set if the lead stays unhandled
Replay with simulated data. A call to Northgate Plumbing from a number ending 0182 goes unanswered. Four seconds later the caller gets an SMS apologising and asking what they need. The owner gets a Telegram alert with Call back and Mark handled buttons, and a row is added to the Leads sheet marked Awaiting reply. About a minute later the caller replies that their kitchen sink is leaking; the row updates to Replied and the owner is pinged again. The caller is asked for their address and a good time, replies with both, and the row fills in and is marked Ready to book. The caller gets a message confirming the request is logged and that the business will call to confirm the visit, and a reminder is set in case the lead stays unhandled.

04Site logs

A photo and a line, filed properly.

The Site Fault Tracker, behind the job & site log: a WhatsApp photo and a short note become one dated row, with the location from the message and a severity flag marked as a rough estimate. Simulated data.

Replay with simulated data. A field worker on the Crestline Solar team sends the WhatsApp bot a photo and a short note: an inverter housing is cracked at Block C of the Riverside site. The bot acknowledges, then replies that it has logged the report as SF-0141, with the fields it pulled out: the location from the message, the worker's own description, and a severity flag marked as a rough estimate. In the team's Site faults sheet, SF-0141 is added below the day's earlier reports (a loose cable tray, now resolved; chipped panel glass, assigned; water pooling by a cabinet, in progress), with its time, location, issue, estimated severity, status New and the photo attached.

?Questions

Questions trades ask.

Can I keep my current number?
Usually, yes. Calls you don't answer on your existing number can be forwarded to the line the system watches, so customers keep calling the number they know. We check with your phone provider before anything is set up.
What if the caller rang from a landline?
A text can't reach a landline. You still get the alert with their number, so you can ring them back.
What if it's an emergency?
The text is written in your words, so it can tell people what to do if it's urgent. The system makes sure they hear back; it doesn't replace you picking up.
How does the site log work?
Your crew send a photo and a short note to one WhatsApp number. Each becomes a dated row in a sheet, with the photo attached and the location taken from the message. See the case study.
Is there anything to register for texting in the US?
Yes. Businesses texting from a US local number have to register with the carriers (it's called A2P 10DLC). It's done as part of setting up the line, which is one reason phone services say "plus phone-line activation time".
Are there running costs?
Chats your customers start cost nothing extra. Messages your business starts on WhatsApp (reminders, follow-ups) carry small Meta fees, and phone services need a phone line. Both are billed at cost, and we tell you the numbers before anything is set up.
