Enquiry websites and WhatsApp admissions for coaching centres

Parents ask the same five questions: which batch, what time, how much, how far, and can my child try a class first. Answer them on a site a parent can read in thirty seconds, on WhatsApp at ten at night, and keep every enquiry in one sheet through admission season.

01Where admissions go

Admission season, hour by hour.

  1. 11:00

    The same question, forty times

Batch timings, fees, boards, holidays. The same questions arrive again and again, on WhatsApp, by phone and at the door, and each one takes a teacher away from something else.

  2. 17:30

    Teaching when the phone rings

Classes run in the evening, which is exactly when parents get home and call. Every teacher is in a classroom.

  3. 21:45

    The question asked after hours

A parent asks about batch timings at night and hears back the next afternoon. By then, a centre down the road has already replied.

  4. Day 3

The demo class nobody followed up

A child sat in on a free class. Nobody got back to the parent afterwards, and they took the silence to mean the centre wasn't keen.

02The arithmetic

A student is worth a year, not a month.

One admission brings a year of fees, sometimes several years and a younger sibling. So an enquiry left unanswered for a day costs far more than the reply would have taken.

For example: 5 enquiries a week get a late reply or none, 15% of those parents would have joined, and a year's fees come to $300. That's about 3 admissions a month, worth $975 in fees.

The WhatsApp auto-reply bot is $149, once, at launch pricing (then $299).

Enquiries missed × 4.33 weeks × the share who'd have joined × a year's fees. The starting numbers are an example, not a statistic: count a fortnight of your own enquiries.

Replay with simulated data, combining the WhatsApp auto-reply bot and the enquiry tracker. At 9:42 pm a parent asks Brightpath Tutorials on WhatsApp about class 8 maths batch timings and fees. The bot answers from the centre's own list and offers a free demo class. The parent asks for Saturday; the bot says it has passed the request to the centre. On the centre's side the enquiry is logged in the Enquiries sheet as Demo requested, and the owner gets a Telegram alert to confirm. The next morning the owner confirms Saturday at 11 and the row changes to Demo booked.

?Questions

Questions centres ask.

Can the site be in English and Hindi?
Yes. The Reliance Coaching Centre site is built in both, with a switch at the top and the Hindi set in a typeface made for it. Other languages can work the same way.
Can parents see the fees without calling?
If you want them to. Fees can be a full table, a "from" price or a clear "ask us". It's one setting, and you can change your mind later.
What will the WhatsApp bot answer?
The questions you give it answers to: batches, timings, fees, boards, the address, holidays. Anything else it passes to you, and it says so to the parent.
Will it book demo classes by itself?
It takes the request and passes it to you to confirm. You decide which batch a child sits in, and when.
What about results and toppers?
Only results you can stand behind, and we don't put children's names or photographs on a website. A site of confirmed facts reads as more serious than a collage.
Are there running costs?
Chats your customers start cost nothing extra. Messages your business starts on WhatsApp (reminders, follow-ups) carry small Meta fees, and phone services need a phone line. Both are billed at cost, and we tell you the numbers before anything is set up.
